Extenuating Circumstances Policy

  • 1   Policy Overview:

    Sometimes circumstances outside of a Venue Manager or Visitor’s control can prevent them from meeting the terms of a booking. If Everywhere Venues determines that a Visitor’s reason for cancellation falls within our Extenuating Circumstances Policy, Everywhere Venues may override the Venue Manager's cancellation policy and grant a refund. This refund will come from the deposit taken and directly from the Venue Manager; not from Everywhere Venues.

  • 2   Responsibilities of the Venue Manager:

    Venue Managers are encouraged to set and manage a cancellation policy that is reasonable considering the type and location of the venue. This will be chosen from the 3 cancellation policy options outlined in the Cancellation policy. If a Venue Manager or Visitor needs to cancel a booking, it is their responsibility to notify the other party of the cancellation as soon as possible. Accepted extenuating circumstances include:

    • 2.1   Unexpected death or serious illness of a Venue Manager, Visitor or immediate family member
    • 2.2   Serious injury that directly restricts a Visitor’s ability to attend the Venue or a Venue Manager’s ability to provide the Venue
    • 2.3   Significant natural disasters or severe weather incidents impacting the location of the Venue or Visitor
    • 2.4   Urgent travel restrictions or severe security advisories issued after the time of booking, by an appropriate national or international authority
    • 2.5   Epidemic disease declared by a credible national or international authority
    • 2.6   Property damage or unanticipated maintenance issues that prevent the ability to use the Venue safely
    • 2.7   Government-mandated obligations issued after the time of booking.
  • 3   Making a claim
    • 3.1   Claims can only be considered after a booking has been cancelled via the Everywhere Venues Platform. Once a Member has cancelled a booking, if the reasons for cancelling are covered by our Extenuating Circumstances Policy, contact Everywhere Venues. We generally require claims to be submitted no later than five days from the original check-in date and we may require valid supporting documentation.
  • 4   Resolution of the claim
    • 4.1   If Everywhere Venues determines that a Venue Manager’s reason for cancellation falls within our Extenuating Circumstances policy, Everywhere Venues may waive the Venue Manager's cancellation penalties outlined in Everywhere Venues’ Terms of Service and Everywhere Venues’ Payment Policy.
    • 4.2   An up-to-date Payout Method must be established in the Member account. Payout Method is where the Member must provide valid bank account information so the venue booking fees can be paid to the Venue Manager.
